University Fair – Service

As part of the Global University Fair 5.0 (USA & Canada) organized at our school, I volunteered in the Booth Assistants, Crowd Control, Logistics, Refreshments, and Setup Crew team. My responsibilities began during the preparation phase, where I assisted university representatives in setting up their booths and guided them to their designated spaces. This involved ensuring that the booths were arranged properly and that representatives had the necessary support to prepare for their interactions with students and parents. During the fair, I played an active role in managing the flow of students and parents moving between the booths. Since the booths were arranged alphabetically, I directed visitors to the appropriate universities, answered basic queries, and helped maintain an organized environment so that each visitor had the opportunity to engage meaningfully with the representatives. I also assisted with distributing refreshments and supported various logistical tasks throughout the event to ensure that everything continued to run smoothly. Through this experience, I was able to contribute to the successful organisation of a large school event that connected students with global higher education opportunities. 

LO4 – Show perseverance and commitment in CAS experience

During the fair, it attracted a large number of students and parents, and the area around the booths often became crowded. I consistently monitored the flow of attendees so that the stalls remained approachable and the environment stayed well-organized for visitors. At times, many students tended to gather in common areas or just walk around without approaching the booths, thus I guided them toward specific university stalls and encouraged them to interact with the representatives present. In several situations, I also helped answer basic questions from students who seemed hesitant and unsure about which universities to approach. By briefly explaining what each stall offered or which programs they represented, I was able to help them decide where to go. 

LO5 – Demonstrate skills and benefits of working collaboratively 

I worked closely with crew members of the logistics and management team. Since the university fair was fast-paced and unpredictable, I contributed in checking that each stall had enough time to prepare and all required supplies were given to them, while coordinating with security to prevent bottlenecks, and keeping track of event schedules to ensure everything happened on time. I also got involved in helping representatives set up last-minute displays and retrieve materials they needed. There were moments when the representative would realise they had forgotten brochures or needed extra chairs for students, and I had to quickly figure out where to get them and bring them over before the crowd grew too restless. I also helped arrange tables, and stuck alphabetically wise banners exactly how they wanted, making sure everything looked neat and inviting.

LO7 – Recognise and consider the ethics of choices and actions 

While guiding students and parents during the fair, I was mindful of ensuring that everyone received equal support and clear information. It wasn’t just about pointing them toward the big-name universities, I tried to connect with each visitor, understanding their interests, and helping them discover opportunities they might not have considered. I remember moments when a student’s eyes lit up after learning about a university they hadn’t known before, that’s when I realised how much small acts of care and attention can shape someone’s experience. I also ensured that university representatives were treated with respect and courtesy throughout the fair, acknowledging their efforts and making sure their concerns and needs were addressed promptly. Being aware of how my actions influenced both visitors and representatives encouraged me to act responsibly and thoughtfully throughout the event.

To conclude, this experience helped me grow not just as a volunteer, but as a more responsible and aware individual. Being actively involved in such a large-scale event taught me how to adapt quickly, take initiative, and stay calm in busy situations.
