CAS Reflection – Grade 12 Farewell (Games Department Head)

Planning and executing the Grade 12 Farewell was one of the most fulfilling and demanding experiences of my IBDP journey. Unlike many leadership roles that focus on competition or performance, this project was rooted in service, gratitude, and responsibility. The farewell represented a once-in-a-lifetime milestone for an entire cohort, and being part of its execution meant ensuring that the event felt lively, engaging, and memorable for the graduating class.

As the Head of the Games Department, my primary responsibility was to conceptualize, design, and execute the interactive segments of the farewell. These activities played a crucial role in maintaining energy throughout the event and encouraging participation from the graduating students. Through this experience, I developed significantly across all seven CAS learning outcomes.

Learning Outcome 1 – Identify your own strengths and develop areas for personal growth

One of my strongest skills throughout this experience was creativity and audience engagement. I was responsible for designing games that were not only entertaining but also suitable for a farewell setting where students, teachers, and the graduating batch were all present. This required balancing humor, inclusivity, and appropriateness so that the activities could be enjoyed by everyone.

I planned several interactive games that encouraged participation from the Grade 12 students while keeping the rest of the audience engaged. I also ensured that the games aligned with the overall program flow so they acted as smooth transitions between speeches, performances, and other segments of the farewell.

Additionally, I coordinated volunteers and participants for each game, explained rules clearly, and ensured that resources required for each activity were prepared in advance. Managing these interactions strengthened my ability to communicate clearly and organize people efficiently.

However, this experience also highlighted an important area for personal growth. During the preparation phase, I sometimes tried to manage too many aspects of the games independently rather than delegating tasks such as arranging materials or coordinating participants. While this helped maintain control over the planning process, it also increased my workload. Reflecting on this experience, I realized that effective leadership involves trusting team members and distributing responsibilities strategically.

Learning Outcome 2 – Demonstrate that challenges have been undertaken, developing new skills in the process

Organizing interactive segments during a live event presented several unexpected challenges. Some participants changed at the last minute, certain resources were misplaced, and time constraints occasionally required us to shorten or modify games on the spot.

These situations required quick thinking and adaptability. I had to modify instructions, adjust the number of participants, and sometimes simplify games while ensuring they still remained entertaining. Managing these last-minute changes without disrupting the overall flow of the event helped me develop problem-solving skills and composure under pressure.

I also learned how to communicate efficiently in high-pressure situations, coordinating with the anchoring team and stage managers to ensure smooth transitions. This experience strengthened my confidence in handling unpredictable situations and making quick decisions.

Learning Outcome 3 – Demonstrate how to initiate and plan a CAS experience

My role in the games department required initiating and planning a structured set of activities that would fit seamlessly within the farewell program.

I began by brainstorming potential game ideas that would be engaging for a mixed audience of students and teachers. After shortlisting ideas, I developed detailed plans for each game, including rules, required materials, participant selection methods, and estimated time durations.

To ensure smooth execution, I also created contingency plans in case a particular game could not be conducted due to time limitations or logistical constraints. I worked closely with the anchoring team and event coordinators so that the games could be placed at appropriate points in the program.

This planning process helped me understand the importance of structure, preparation, and coordination in executing interactive activities within a larger event.

Learning Outcome 4 – Show commitment to and perseverance in CAS experience

This CAS experience required sustained commitment over several weeks. Along with my academic responsibilities, I spent significant time planning games, refining instructions, organizing materials, and coordinating with team members.

During the final stages of preparation, there were moments when balancing academics and farewell responsibilities became challenging. However, I remained committed to ensuring that the games segment was well organized and enjoyable for the graduating students.

Even on the day of the event, I remained actively involved in preparing participants, arranging materials, and coordinating with other teams to ensure that each game ran smoothly. This experience strengthened my perseverance and reinforced the importance of dedication when working towards a shared goal.

Learning Outcome 5 – Demonstrate the skills and recognize the benefits of working collaboratively

The farewell event required collaboration between several teams, including logistics, anchoring, performances, and technical support. As the head of the games department, I worked closely with these teams to ensure that the interactive segments integrated smoothly with the rest of the program.

I coordinated with volunteers who helped manage participants and arrange materials for the games. Clear communication was essential to ensure everyone understood their roles and responsibilities.

Through this process, I realized that successful collaboration requires not only dividing tasks but also maintaining open communication and mutual support. Working together allowed us to create an event that felt cohesive and enjoyable for everyone involved.

Learning Outcome 6 – Demonstrate engagement with issues of global significance

While planning the games segment, our team also remained mindful of sustainability and resource use. Instead of purchasing new materials for every activity, we reused items that were already available within the school.

This approach helped reduce unnecessary consumption and promoted responsible resource management. Even though the games were a small part of the overall event, these decisions reinforced the importance of making environmentally conscious choices wherever possible.

Through this experience, I developed a greater appreciation for how sustainability can be incorporated into everyday planning and decision-making.

Learning Outcome 7 – Recognize and consider the ethics of choices and actions

Ethical decision-making was important when selecting participants and designing activities. I ensured that the games were inclusive, respectful, and appropriate for a school environment.

Care was taken to avoid games that could embarrass participants or make anyone uncomfortable. I also ensured fairness in selecting participants so that multiple students had the opportunity to engage in the activities.

This experience reinforced my understanding that leadership involves responsibility towards others’ experiences and emotions. Ethical leadership requires awareness, empathy, and fairness in every decision.

Conclusion

Serving as the Head of the Games Department for the Grade 12 Farewell was a meaningful CAS experience that allowed me to develop creativity, leadership, adaptability, and collaboration skills.

Through planning and executing the interactive segments of the event, I learned how thoughtful engagement can enhance the overall atmosphere of an event and create lasting memories for participants. The challenges I faced strengthened my problem-solving abilities and taught me valuable lessons about delegation, teamwork, and responsible leadership.

Most importantly, this experience helped me understand that leadership is not only about managing tasks but also about creating positive experiences for others. Contributing to the farewell in this way made the event more dynamic and enjoyable, and it remains one of the most rewarding experiences of my IBDP journey.
