Leadership in Action: Coordinating the University Fair
School events often appear seamless to participants, but behind every successful event lies extensive coordination and teamwork. During the University Fair hosted at our school, I took on the role of Event Coordinator, where my responsibilities ranged from escorting university representatives to ensuring smooth crowd management and logistics throughout the event.
This experience allowed me to engage directly with professionals, support the organisation of a large-scale academic event, and develop valuable leadership and management skills.
LO 1 — Identify Own Strengths and Develop Areas for Growth
Working as an event coordinator helped me identify several personal strengths, particularly communication, organisation, and responsibility. Escorting university representatives required confidence and professionalism, as I had to guide them around the campus and ensure they were comfortable with the event arrangements.
At the same time, the experience highlighted areas where I could grow. Managing large groups of students while maintaining order required stronger assertiveness and clearer instructions. This pushed me to develop better leadership and crowd-management skills.
LO 2 — Demonstrate That Challenges Have Been Undertaken
Large events naturally come with unexpected challenges. One of the biggest difficulties during the fair was ensuring that students moved efficiently between booths while avoiding overcrowding in certain areas.
Another challenge was maintaining coordination between different organisers and responding quickly when schedules or arrangements changed. Handling these situations required quick decision-making and adaptability.
These challenges pushed me beyond my comfort zone and strengthened my ability to manage pressure in real-time environments.
LO 3 — Demonstrate How to Initiate and Plan a CAS Experience
Before the fair began, careful planning and preparation were required. My responsibilities included:
- Assisting with the setup of university booths and materials
- Escorting university representatives to their designated spaces
- Helping organise the event flow so students could visit universities systematically
- Ensuring the event environment remained organised and welcoming
This planning process helped me understand how detailed coordination contributes to the success of large academic events.
LO 4 — Show Commitment and Perseverance in CAS Experiences
The role required constant engagement throughout the event. From the initial setup to the final stages of the fair, I remained actively involved in assisting representatives, guiding students, and solving logistical issues.
Despite the long hours and the need for continuous attention, staying committed ensured the event ran smoothly and created a positive experience for both students and university representatives.
LO 5 — Demonstrate the Skills and Recognize the Benefits of Working Collaboratively
The university fair was a collaborative effort involving teachers, student volunteers, and school staff. Working with this team required clear communication and coordination.
Through collaboration, tasks such as booth setup, student guidance, and event supervision were completed efficiently. This experience reinforced the importance of teamwork and how collective effort ensures the success of large events.
LO 6 — Demonstrate Engagement with Issues of Global Significance
University fairs play an important role in helping students explore higher education opportunities around the world. By participating in this event, I contributed to promoting awareness about global education pathways, academic diversity, and international career possibilities.
This exposure helps students make informed decisions about their futures and connects them to opportunities beyond their immediate environment.
LO 7 — Recognize and Consider the Ethics of Choices and Actions
As an event coordinator, professionalism and fairness were essential. I had to ensure that all university representatives were treated respectfully and that students were guided fairly to different booths without bias.
This role emphasized ethical responsibility — maintaining respect, organisation, and integrity when representing my school and interacting with external professionals.
Final Reflection — Learning Leadership Through Responsibility
The University Fair experience taught me that leadership is often demonstrated through service and responsibility. Coordinating such an event required patience, communication, and adaptability.
The most rewarding part was observing students actively engaging with university representatives, asking questions about programs and career opportunities. Knowing that my role helped facilitate these interactions made the experience meaningful.
Through this CAS activity, I strengthened:
- Leadership and organisational abilities
- Communication with professionals
- Problem-solving under pressure
- Teamwork and collaboration
- Professional responsibility
Most importantly, this experience showed me how well-organised events can create opportunities that influence students’ future educational journeys.
